Position Title: Office & Program Data Specialist (Part-Time) 

Reports to: Executive Director

Position Summary
The Office and Program Data Specialist manages daily office operations and student data systems to ensure efficient administrative support, accurate recordkeeping, and compliance with Virginia Department of Education (VDOE) requirements. This position supports program operations through data management, reporting, office administration, and general organizational support.

Primary Responsibilities

Office Administration

  • Manage incoming phone calls, mail, and general correspondence.

  • Monitor and manage the Skyline info email account; route inquiries to appropriate staff.

  • Track, order, organize, and distribute office and program supplies.

  • Maintain informational materials at the front office.

  • Assist with photocopying and preparation of program, public relations, and recruitment materials.

  • Monitor printer and copier usage.

  • Provide general administrative support to colleagues as needed.

  • Perform other duties as assigned by the Executive Director.

Data Management and Program Support

  • Assist with student recruitment by supporting outreach efforts and participating in community events.

  • Assist with student registration and assessments to support enrollment, evaluation, and appropriate placement.

  • Enter and maintain student registration, assessment, attendance, and instructional hour records in LACES and VDOE databases.

  • Ensure assessment recordkeeping and data entry comply with VDOE standards and reporting requirements.

  • Maintain accurate records of student and tutor instructional hours.

  • Assist the Program Manager and Tutor Manager in reviewing program data to identify trends and support continuous improvement.

  • Support data quality assurance and maintain confidentiality of student information.

Qualifications and Skills

  • Bachelor’s degree or equivalent experience

  • Strong oral and written communication skills

  • Ability to work collaboratively as part of a team

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Windows OS)

  • Bilingual English/Spanish required

Work Schedule and Compensation

  • Part-time, non-exempt

  • 15 hours per week

  • Monday–Friday, 9:00 a.m.–4:30 p.m.The selected candidate will have flexibility to set their weekly schedule, as long as their hours fall within 9am - 4:30pm, Monday-Friday

  • Occasional evening and weekend work as needed 

  • $17 - $19 per hour
